A rapidly growing fintech company found their IT team drowning in a repetitive administrative task: manually provisioning new user accounts across multiple systems. First, we conducted a discovery phase to map all systems requiring user access and standardised user profiles based on job roles. This created consistency where previously each provisioning request was handled ad-hoc.
Next, we built a Microsoft Teams chatbot that served as a single interface for onboarding requests. For the 3-5 highest-impact core systems - Cloud Platform, Microsoft 365, communication platforms, and CRM - we integrated full automation. The chatbot could create accounts, assign appropriate permissions based on role templates, and confirm completion within minutes.
For the remaining 5-10 systems where full integration wasn't immediately cost-effective, we built guided workflows. The chatbot provided IT staff with step-by-step instructions, pre-filled forms, and links to the relevant admin consoles. This transformed tribal knowledge into a documented, repeatable process.
Critically, we designed the solution as an extensible framework. As priorities evolved, the client could progressively automate additional systems without rebuilding the foundation.
